DMS for Facility Management: Enhancing Security and Efficiency in a Leading Bank

In the bustling heart of London, a prominent bank faced the challenge of managing secure deliveries to its high-occupancy offices while only allowing entry to authorised personnel, ensuring pedestrian safety, and reducing congestion caused by delivery vehicles. To address these issues, the bank implemented our Delivery Management System (DMS) – Zone Manager.

Case Study: Enhancing Security and Efficiency through through Delivery Management System in a Leading Bank

In the bustling heart of London, a prominent bank faced the challenge of managing secure deliveries to its high-occupancy offices while only allowing entry to authorised personnel, ensuring pedestrian safety, and reducing congestion caused by delivery vehicles. To address these issues, the bank implemented our Delivery Management System (DMS) – Zone Manager – in collaboration with a major Facilities Management company. This case study highlights how our DMS for Facility Management transformed the bank’s delivery operations, streamlined administrative processes, and improved overall security.

The Challenge:

The bank’s London offices were characterised by a continuous influx of deliveries from various suppliers. The conventional approach to managing these deliveries led to congestion in the surrounding area and posed potential risks to pedestrians due to the presence of delivery vehicles. Additionally, the bank incurred additional administrative costs in manually managing delivery requests and tracking delivery arrivals and departures. Not only that, but site security is of utmost importance for the client, and ensuring only authorised personnel can access the building at any given time is a top priority.

The Solution:

The bank partnered with one of our partners, a well-established Facilities Management company who recommended our system, Zone Manager. Together, we implemented a Delivery Management System to revolutionise the way deliveries were handled:

  1. Reducing Congestion and Improving Pedestrian Safety: The DMS incorporated centralised site and access information for staff, and scheduling capability to optimise deliveries. This significantly reduced the congestion caused by delivery vehicles and enhanced pedestrian safety in the vicinity of the bank’s offices. The DMS provided real-time insights into delivery vehicle locations, ensuring smoother traffic flow and minimising risks.
  2. Streamlined Approval Process: The DMS introduced a self-approval feature for delivery slots. The bank and its suppliers could autonomously choose and approve their preferred delivery time slots through the system’s intuitive interface. This eradicated the need for manual approval processes, cutting down on administrative costs and saving time for all parties involved.
  3. Real-time Tracking and Reporting: The client equipped gate marshals with hand-held devices such as tablets and mobiles, enabling them to monitor the arrival and departure of deliveries in real time. This facilitated efficient management of deliveries, enhancing security and ensuring that the right items were received by authorised personnel. Moreover, the system generated performance reports for each delivery, allowing the identification of late arrivals, no-shows, overstay instances, and unplanned deliveries.

Benefits and Outcomes:

The implementation of the Delivery Management System yielded several great benefits for the bank and its partners:

  • Enhanced Security: The DMS enabled gate marshals to closely track and verify deliveries, ensuring that only authorised items and personnel entered the premises. This bolstered the overall security of the bank’s offices.
  • Efficiency Gains: The easy access to site information and scheduling features of the DMS reduced delivery vehicle congestion and streamlined the entire delivery process. This led to improved operations and reduced delays.
  • Cost Savings: The self-approval feature drastically reduced administrative overhead, as manual approval processes were eliminated. This resulted in cost savings for the bank and its suppliers.
  • Data-Driven Decision Making: The performance reporting capability of the DMS allowed the bank to gain insights into delivery patterns, helping them make informed decisions to further optimise their delivery operations.

Through the successful implementation of the Delivery Management System, the bank transformed its delivery operations, enhancing security, efficiency, and pedestrian safety. The collaborative effort with Zone Manager and the Facilities Management company not only streamlined the delivery process, but also provided a data-driven approach to monitoring and improving delivery-related activities. The case study underscores the importance of innovative technology solutions in addressing complex challenges and improving overall business operations.
